Four to six weeks is comfortable for most Phoenix events, and two weeks is usually workable. The exception is February and March, when the golf tournament and spring training put every crew in the Valley on the same calendar.
A Phoenix timeline
- Three months or more: a March weekend, a Convention Center show with an exhibitor deadline, or a resort program that locks its banquet order early. For March, treat December as the deadline.
- Four to six weeks: the comfortable window for most events. Time for art proofs, a firm headcount and a settled load-in.
- Two to four weeks: usually workable. Keep the art simple and the blanks standard.
- Under two weeks: ask. It depends on whether a crew is free, since the presses are staged in Fullerton and drive in the day before.
What speeds things up
Final art, a rough headcount, the venue and its load-in rules, and the stations you want. Art needs to be final about a week before the event, and that's also when the blank order locks, so those two decide how late is too late.

Why the Valley calendar matters
Phoenix has a sharp peak. From early February through late March, the golf tournament, spring training and spring break overlap, and hotels and rental companies fill up along with our crews. A weekday in late March is easier to land than a mid-March Saturday.
Outside that stretch, summer pushes events indoors, where the air conditioning is the draw, and outdoor dates move to mornings and evenings.
